Terms & Conditions.

A straightforward guide to bookings, payments, attendance and cancellations for Templesprings families.

The important parts, in plain English.

These terms form part of your agreement with Templesprings. This page helps you understand the points families ask about most. Please read it before booking and use the complete July 2026 document whenever you need the exact contractual wording.

01 · YOUR PLACEBookings are provisional at first

Your place is confirmed after the required form, fees, course payment or instalment arrangement, Direct Debit mandate and parent induction are complete.

02 · CHANGING YOUR MINDThere is a 14-day cooling-off period

Cancellation rights differ after that period. Term packages generally cannot be cancelled; Annual Tuition Packages require a full calendar month’s written notice.

03 · MISSED LESSONSTell us as early as possible

Retakes and credits depend on your package. Annual packages allow up to two approved retakes per term; Flexible Adult Bookings need at least 24 hours’ notice.

Starting lessons and confirming a place

Your booking confirmation and these terms form the agreement between you and Templesprings. Please tell us promptly if the confirmation is incorrect and keep your email address up to date.

  • A student is admitted once the required booking steps and payments are complete.
  • A course start date cannot be changed after payment has been received.
  • If joining a term after it has begun, all remaining classes in that course must be booked.
Payments, Direct Debit and refunds
  • Annual Tuition Package fees are divided into 11 monthly instalments. Payments are invoiced on the 25th and due by the 1st.
  • A refundable one-month notice deposit is taken at enrolment and is refunded or used for the final month once valid notice is given.
  • Missed payments must be resolved within seven days or the lesson place may be lost; outstanding fees remain payable.
  • Approved refunds usually take 10–14 working days. The payment method used depends on when the refund is authorised.
Cancelling or pausing a course

You can cancel a Term Package or Annual Tuition Package in writing within 14 days of booking, subject to the deductions described in the full terms.

  • After 14 days, a Term Package cannot normally be cancelled.
  • An Annual Tuition Package requires one full calendar month’s written notice. Notice must be given before the first day of a month and runs to the end of that month.
  • Annual Tuition Packages may be paused with at least 30 days’ written notice, subject to written confirmation and availability when returning.
  • Flexible Adult Booking lessons may be paused for up to 12 weeks.

Missed, cancelled and retake lessons
  • Single Term and Group packages do not include make-up lessons for student absence.
  • Annual Tuition Package students may receive up to two approved retakes per term. They must be used in the same term, cannot roll over and depend on availability.
  • If Templesprings cancels, the coach will arrange the replacement; if the family cancels, the parent or student must book an eligible retake.
  • Flexible Adult Bookings need at least 24 hours’ notice through the portal for a credit. The credit must be used within one month.
  • Medical suspension requires a doctor’s note and cannot be backdated.
Parents, supervision and collecting children

Parents or guardians remain responsible until the coach accepts the student and again when the student is returned to the designated collection point.

  • Parents, guardians and siblings do not normally sit in lessons, helping students concentrate.
  • A parent may remain for a child under five or where SEND support is necessary.
  • Everyone must follow staff instructions and behave respectfully. Serious or repeated unsafe behaviour can lead to the booking ending without credit or refund.
Changing lesson day, time or tutor
  • Please give at least one week’s notice when requesting a different lesson day or time.
  • Changes depend on availability and may involve another tutor, class or student-to-coach ratio.
  • Tutors can be temporarily or permanently replaced.
  • If the price differs when transferring, the current price and credit rules in the full terms apply.
Holiday Club bookings
  • Annual Tuition Package students receive up to 10 non-transferable Holiday Club days per academic year. Unused days expire at year end.
  • All bookings must be completed online and paid before the club begins.
  • Changes with at least 48 hours’ notice are free, subject to availability. Less notice may mean no change or refund.
  • Parents must provide accurate medical, SEND, allergy and emergency-contact information before attendance.
  • Children must be collected at the confirmed time. Late collection charges may apply.
  • Photography or filming is only used with consent, and consent is optional.
Health, behaviour and safeguarding at Holiday Club
  • Children who are ill or infectious must stay home and remain away for 48 hours after the last symptom.
  • Prescribed medication requires the correct permission form and must be handed to the Club Manager.
  • Holiday Club does not provide one-to-one support. Adjustments are considered individually within the stated staffing ratios.
  • Bullying, discrimination and persistent poor behaviour are not accepted and may lead to exclusion.
  • Safeguarding concerns may be reported to Ofsted or the appropriate authorities.
Buying an instrument through Templesprings

The total instrument price may include collection, administration, repair and servicing charges. These cover sourcing and collecting the instrument, processing the purchase and preparing or servicing it before it is supplied. The complete price is payable at purchase unless agreed otherwise in writing.

Privacy, liability and the legal agreement

Templesprings uses personal information to manage bookings, communicate about a child’s welfare and provide services in line with its Privacy Policy. The complete terms also set out limits of liability, events outside either party’s control, variation, severability, third-party rights and the application of English law.
